GUIDELINES FOR STUDENTS AND MENTORS
- Students must work with a faculty mentor before submitting an abstract.
- Only online registration will be accepted.
- Registration opens at TBD and closes at 11:59 p.m. on TBD. Late submissions will not be accepted.
- Only one student can be listed as the first author. However, additional students can be listed as co-author(s). In addition, your faculty mentor should be referenced on your registration. Group presentations are defined as two or more students. If a group's presentation scores are high enough to receive an award, award funds will be divided equally based upon the number of participants in that group.
- You can elect to make either a oral or poster presentation.
- Oral presentations are limited to 10 minutes followed by 5 minutes of
questions. Time limits will be enforced. All SRS oral presenters must save your PowerPoint presentation on the conference
laptop (NO EXCEPTIONS). For the SRS, please refer to your abstract notification letter or e-mail confirmation for
information regarding the time of your oral presentation. The graphics you project on the screen
to support the spoken word should help clarify ideas, emphasize key points, show relationships, and provide the
visual information your audience needs to understand your message.
- Please note:
- PowerPoint files must be submitted in a native Windows PPT file format (Office 2007 users, must save as .ppt NOT .pptx).
- Avoid graphics files larger than 10MB and 800x600.
- Use standard fonts (e.g. Helvetica, Times New Roman or Courier).
- Be sure to include all fonts used in a separate file folder.
- Be sure to include all graphics files in a separate file folder.
- Be sure to include all media (audio/video clips) used in a separate file folder.
- Text size in PowerPoint slides of must be 20 or larger.
- Please note:
- Poster sessions are allotted a 4 hour time block for viewing. Posters will be scheduled for presentation in
90 minute time-blocks with authors present to answer any questions and discuss their research with attendees.
- The library has an HP wide format color printer available in LL 146 (PowerPoint has a maximum size of 42" x 56"). The wide format printer can print posters from Acrobat (PDF) and PowerPoint files. Files setup at 100% of the poster size will yield the best results.
- The printing fee for SRS presenters is $40 for each poster.
- Bring your file on a Windows-compatible USB drive or CD to LL 146 to request poster printing.
- SRS and library personnel are not available to offer design or technical support for your poster. Please make certain your file is appropriately formatted and free of errors before submitting it for printing. Any poster reprint will incur another $40 charge.
- Large format poster tutorials are available on SDSU's Instructional Technology Services' website.

- Abstract must be written by the student and reviewed/edited by his/her faculty mentor. Mentors should not write the abstract, but guide the student in developing the abstract.
- There is a suggested limit of 350 words or less for abstract submissions.
- Accepted abstracts must contain:
- hypothesis or statement about the problem or project
- statement of the methods (research that utilizes existing/secondary data sets is acceptable)
- essential results or outcomes
- conclusion or summary
- A student can be first author on only one abstract. However, there is no limit to the number of abstracts on which a student is a co-author.
- Duplicate abstracts submitted by different authors will be automatically rejected.
- Work must be proofread prior to submission. SRS staff will not edit abstracts.
- Upon receiving the abstract, you will be sent an e-mail confirmation.
- Approximately one week prior to the symposium, you will receive an e-mail notifying you of your presentation time.
